Ball and Beyond Policies

At Ball and Beyond , we are committed to delivering safe, inclusive, and high-quality school football programs. As a registered non-profit sports organization in British Columbia, we follow the standards of Canada Soccer, BC Soccer, provincial regulations, and school district guidelines.

The following policies outline how we operate, protect participants, and ensure fairness and accountability.

  1. Privacy Policy

We respect and protect personal information collected from students, parents/guardians, schools, and partners.

    • Information collected (e.g., registration details, emergency contacts) is used only to deliver programs and communicate with families and schools.
    • Data is stored securely and accessed only by authorized staff.
    • We comply with British Columbia’s Personal Information Protection Act (PIPA).
    • No personal information is shared with third parties without consent, unless required by law.
  1. Terms of Use

By using our website, registering in a program, or participating in events, you agree to:

    • Follow all program rules, codes of conduct, and safety procedures.
    • Ensure accurate and truthful information is provided at registration.
    • Acknowledge that participation in football involves inherent physical risk, mitigated by our safety standards.
    • Respect intellectual property: all logos, content, and materials belong to Ball and Beyond and may not be used without permission.
  1. Child Safety & Safeguarding Policy

We place the highest priority on the safety and well-being of children and youth.

    • Coach Screening: All coaches and volunteers must pass a Criminal Record Check & Vulnerable Sector Screening.
    • Safe Sport Training: Staff and volunteers complete Canada Soccer Safe Sport and Respect in Sport training.
    • Code of Conduct: Strict zero-tolerance for bullying, harassment, discrimination, or abuse.
    • Concussion Protocols: We follow Canada Soccer Concussion Guidelines and BC school health standards.
    • Emergency Action Plans: Each session and event has a designated safety lead and protocol for injuries or incidents.
    • Reporting: Concerns may be reported confidentially to info@ballandbeyond.ca .
  1. Refunds & Cancellations Policy
    • Refunds for camps and clinics are available up to 14 days before the start date.
    • No refunds once a program has begun, except for medical reasons (with doctor’s note).
    • If a program is cancelled by Ball and Beyond (e.g., low enrolment, coach availability), families receive a full refund.
    • Sessions cancelled due to severe weather or poor air quality will be rescheduled where possible.
  1. Media Consent Policy

We recognize and respect privacy in media use.

    • Photos or videos may be taken during programs, tournaments, or events.
    • Parents/guardians are asked to provide consent at registration.
    • Only students with active media consent will appear in promotional materials or social media.
    • Consent may be withdrawn at any time by emailing info@ballandbeyond.ca .

Ball and Beyond is committed to accessibility and inclusion.

    • Programs are adapted for students with diverse abilities, in line with BC school inclusion standards.
    • Reasonable accommodations are made (e.g., modified drills, one-on-one support, accessible venues).
    • Our website follows WCAG 2.1 accessibility guidelines for digital content.
  1. Diversity & Inclusion Policy

We celebrate diversity and promote equity.

    • Participation is open regardless of race, ethnicity, gender, ability, or socio-economic background.
    • Zero tolerance for discrimination or harassment.
    • We actively encourage girls’ participation and inclusion of underrepresented groups in football.
  1. Equipment & Safety Policy
    • Ball and Beyond provides footballs, cones, bibs, and training equipment.
    • Students must bring appropriate footwear, shin guards (for matches), and a labelled water bottle.
    • Sessions follow BC Soccer Safety Standards and school district facility use guidelines.
    • Parents/guardians are responsible for informing staff of any medical conditions or required accommodations.
  1. Weather & Air Quality Policy
    • Outdoor sessions may be cancelled or rescheduled in case of lightning, unsafe fields, or poor air quality.
    • We follow Metro Vancouver Air Quality Advisories and BC School District guidelines.
    • Families will be notified of cancellations via email/SMS.
  1. Code of Conduct (Players, Parents, Coaches)
    • Players: Show respect to teammates, opponents, referees, and coaches; demonstrate fair play.
    • Parents: Encourage positively, respect officials, avoid sideline coaching, and support child safety.
    • Coaches: Provide safe, inclusive, and age-appropriate training; lead by example; uphold the values of Ball and Beyond.

Violations may result in warnings, suspension, or removal from programs.

  1. Sponsorship & Contributions Policy
    • Ball and Beyond is a registered non-profit sports organization under BC law.
    • All funds are reinvested into football programs, equipment, and student opportunities.
    • Contributions and sponsorships are not tax-deductible for income tax purposes under CRA regulations.
    • Sponsors and donors will be acknowledged appropriately in line with Ball and Beyond values and school standards.

Ball and Beyond is not affiliated with professional leagues or governing bodies unless expressly stated.
Participation in programs is voluntary and at the participant’s own risk, mitigated by our safety procedures and insurance coverage.
